Driver Qualification and MVR Monitoring Policy

Effective: November 6, 2026

Purpose

Your Business, LLC allows only qualified, safe and properly licensed people to drive on its behalf. This policy sets the minimum standards a person must meet before driving, the checks Your Business, LLC completes before and during employment, how driving records are scored, and what happens when a driver no longer meets the standard.

The standards in this policy are minimums. A contract, funding agreement, insurer or law that sets a stricter rule for a particular service will apply to that service.

Scope

This policy applies to the following people whenever they drive on behalf of Your Business, LLC:

  • Employees who drive a vehicle owned, leased or rented by Your Business, LLC.
  • Employees who drive their own vehicle on Your Business, LLC business, including errands, client visits and deliveries.
  • Part-time, seasonal, temporary and on-call drivers.

Some Your Business, LLC drivers operate commercial motor vehicles as defined in 49 CFR 390.5. For those drivers, Your Business, LLC will meet the driver qualification requirements of 49 CFR Part 391 and the Drug and Alcohol Clearinghouse requirements of 49 CFR Part 382 where they apply, in addition to this policy. Where this policy and the federal rules differ, the stricter rule applies.

Definitions

  • Driver: any person covered by this policy who operates a motor vehicle on behalf of Your Business, LLC, whether paid or volunteer, and whether in a company vehicle or a personal vehicle.
  • Motor vehicle record (MVR): the driving record kept by a state licensing agency, showing license status, class, endorsements, restrictions, violations, suspensions and, in many states, crashes.
  • Moving violation: a traffic violation committed while the vehicle is moving, such as speeding, failure to yield or running a red light. Parking and equipment-only tickets are not moving violations.
  • Major violation: a serious offense listed in this policy, such as driving under the influence, reckless driving or leaving the scene of a crash.
  • Preventable crash: a crash in which the driver failed to do everything reasonably possible to avoid it, as decided by Your Business, LLC's crash review process.
  • Continuous monitoring: an MVR service that alerts Your Business, LLC when a change is posted to a driver's record, rather than waiting for a periodic check.

Minimum Qualifications

To drive for Your Business, LLC, a person must be at least [min age] years old and must have held a valid driver's license for at least [years licensed] years.

Every driver must also:

  • Hold a valid, unsuspended license of the class and with the endorsements needed for the vehicle, issued by the state where the driver lives.
  • Have a motor vehicle record that meets the scoring standard in this policy.
  • Pass the criminal background and registry checks required for the position, as described in this policy.
  • Be acceptable to Your Business, LLC's auto insurer.
  • Pass a road test or driving evaluation in the type of vehicle the driver will operate.
